Position Summary:

As an Executive Assistant to the Chief Executive Officer (CEO), you will provide high-level strategic and administrative support to ensure the efficient functioning of the CEO’s office. This role requires a proactive, highly organized professional who can manage complex schedules, facilitate communication, and act as a trusted partner in both operational and strategic initiatives.

 

Key Responsibilities:

  • Calendar & Priority Management: Manage the CEO’s complex calendar, including scheduling meetings, appointments, and travel. Proactively prioritize engagements based on business impact and urgency, ensuring optimal time utilization.
  • Meeting & Executive Governance Support: Prepare agendas, track action items, follow up on deliverables, and ensure closure of key decisions.
  • Communication & Executive Representation: Serve as a gatekeeper and liaison, ensuring effective communication between the CEO and internal/external stakeholders.
  • Stakeholder & Relationship Management: Build and maintain strong relationships with senior leadership, board members, clients, and partners. Represent the CEO with professionalism, discretion, and sound judgment.
  • Information & Confidential Data Management: Maintain organized and secure records, files, and documents. Handle highly sensitive and confidential information with integrity and discretion.
  • Research, Analysis & Reporting: Conduct research, analyze data, and prepare concise reports, dashboards, and summaries to support executive decisions.
  • Travel & Logistics Management: Plan and coordinate complex domestic and international travel, including itineraries, accommodations, and expense tracking.
  • Event & Board Coordination: Organize executive-level events, board meetings, and leadership offsites. Manage end-to-end logistics and communication.

Qualifications & Skills:

  • Proven experience supporting C-level executives, preferably a CEO.
  • Exceptional organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion and emotional intelligence.
  • Proficiency in Microsoft Office Suite, calendar tools, and collaboration platforms.
  • Experience with project management tools (e.g., Asana, Trello, or similar).
  • Strong problem-solving and decision-making abilities.
  • Ability to work in a fast-paced, high-pressure environment.
  • High degree of professionalism and executive presence.
  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
