Job Title: Front Office Assistant
Location: Irvine, CA 92618
Duration: 3+ Months (LOA coverage through 3/1)
Note: EPIC experience highly preferred
Position Summary:
The Front Office Assistant supports daily patient care operations by performing a variety of clerical and administrative duties. This role ensures smooth patient flow, timely communication, and efficient coordination with referring physician offices and internal staff. The assistant interacts professionally with patients, families, and visitors while maintaining excellent customer service and confidentiality standards.
Key Responsibilities:
Greet visitors, answer incoming telephone calls, and support patient inquiries.
Perform front office administrative tasks to maintain efficient patient flow and communication.
Collect copays, close cash drawers, and assist with month-end deposit preparation.
Gather initial patient demographic and clinical information and enter accurately into the EMR.
Compile, prepare, and maintain patient charts and required documentation.
Assist with patient scheduling, including confirmations, cancellations, and rescheduling.
Communicate schedule changes promptly to clinical staff, supervisors, and relevant departments.
Utilize various software applications, including department-specific systems, to schedule, enter charges, scan documents, and manage patient records.
Ensure all required paperwork is completed prior to patient procedures.
Assist in ordering patient tests as directed by medical staff.
Provide support to clinical staff, patients, and families as needed.
Maintain strict patient confidentiality and adhere to established standards.
Participate in continuous quality improvement initiatives.
Perform other duties as assigned.
Required Skills & Experience:
Minimum 1 year of medical front office or equivalent administrative experience.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
Strong clerical skills including filing, calculator use, and telephone communication.
Minimum typing speed of 35 WPM.
Working knowledge of medical terminology and basic anatomy.
Preferred Skills & Experience:
2+ years of medical front office experience.
Experience working in an acute healthcare system.
Knowledge of healthcare database systems and EMR platforms; EPIC experience highly preferred.
Understanding of insurance verification and procedures.
Education:
Required:
High school diploma or equivalent education/experience.
Preferred:
Bachelor’s degree in a healthcare-related field.
